One coordinated AV service

Everything your conference needs to run smoothly.

What does a conference AV service include?

Conference AV combines the sound, microphones, presentation screens, projectors and technical expertise that speakers and audiences need to communicate clearly. A typical setup may include a digital mixing desk and an on-site technician who stays during the event.

For larger conferences and awards ceremonies, Hillside can coordinate video switching, stage lighting, multiple displays and additional specialist technicians. You don't need to know the equipment specifications before making an enquiry.

Hillside event AV setup
Meetings and presentations

Clear sound. Confident presenters.

A conference setup must work for both speakers and the audience. Hillside can provide radio microphones, PA systems, digital sound mixing and the technical support needed for presentations and panel discussions.

Handheld roving microphones can support audience questions. An on-site technician can adjust the setup as the programme changes, rather than leaving organisers to troubleshoot unfamiliar equipment.

Awards and corporate productions

When every presentation, cue and moment needs to land.

For awards ceremonies, sound, lighting and video often need to operate simultaneously. Dedicated technicians can handle each discipline, from the music played as winners approach the stage to the screens and lighting cues supporting the presentation.

Screens and vision mixing

Show the right content at the right time.

Multiple presenters, laptops, videos and displays can make a conference technically demanding. Hillside can arrange projectors, large-format screens and vision-switching equipment to keep the visual programme running smoothly.

For larger events, a dedicated video operator can manage switching between sources and ensure the correct content appears on the appropriate screen, including information displays in foyers or other areas.

Remote speakers and hybrid events

Bring remote speakers into the room.

Hillside can support hybrid conference AV and two-way video calls. At Ledbury Poetry Festival events, Hillside has helped international poets join remotely via Zoom, allowing them to speak with people on stage and address the audience.

This requires audio from the room to reach the remote speaker, and the remote speaker's voice and video to be presented clearly to the room. The right arrangement depends on the venue, programme and connection requirements.

Additional service / Video relay

Help everyone see what's happening on stage.

Video relay uses one or more cameras to send a live picture of speakers or proceedings to additional screens. It helps audiences at the back of a large venue, in overflow rooms or in areas with restricted sightlines follow what's happening.

Hillside can incorporate cameras, video switching and screen feeds into a conference or awards setup. Video relay can also be discussed as an additional specialist service when other AV equipment is already in place.

Technical crew and event support

The reassurance of someone who knows the kit.

Hillside can provide a technician to stay throughout your conference, with support tailored to the programme. The number of technicians scales with the technical demands.

Plan and check

Discuss technical requirements, coordinate with the venue and organiser, and test equipment before presentations begin.

Operate and support

Manage microphones, sound, video sources and programme changes, with on-site support where booked.

Scale the team

For demanding awards and productions, arrange specialists for audio, lighting and video, alongside installation crew.

Creative corporate events

Practical expertise. Room for creative ideas.

Alongside straightforward conference AV, Hillside enjoys technically creative work using sound, lighting and video together. Hillside can discuss bespoke screen shapes, projection and set arrangements to create a distinctive audience experience.

For events with a creative brief, we can discuss how the technical disciplines work together — while keeping the solution appropriate to the venue, audience and budget.

Common questions

Conference AV FAQs.

What does a conference AV package include?

Conference AV can include microphones, a PA system, projector or screens, digital sound mixing, video switching and a technician. The specific equipment and staffing are tailored to the venue and programme.

Can you provide AV for a meeting of 30–50 people?

Yes. Hillside can provide a screen and projector, sound system, two wireless microphones, digital sound desk and an on-site technician, tailored to your meeting.

Will a technician stay throughout the conference?

Yes, when this is included in the agreed package. On-site operation and support can be arranged so organisers do not have to manage unfamiliar equipment themselves.

Can you provide microphones for audience questions?

Yes. Wireless handheld or roving microphones can be arranged to help questions be heard throughout the room.

Can remote speakers join a conference?

Yes. Hillside has experience supporting two-way participation via video conferencing platforms such as Zoom, including remote speakers joining live events.

What is the difference between hybrid AV and video relay?

Hybrid AV connects remote participants to an in-person event. Video relay shows a live camera feed of the event on additional screens for audiences in the venue or another viewing area.

Can you provide video relay to additional screens?

Yes. Hillside can discuss camera feeds, video switching and display screens for events where people need a closer or additional view of the proceedings.

Can you support awards ceremonies?

Yes. Awards events can combine sound, presentation screens, music cues, stage lighting and technical operators, with specialists allocated to audio, lighting and video when needed.

How many technicians will my event need?

A smaller conference may need one technician. Larger or more complex events with several technical disciplines operating simultaneously may need additional specialists.
